Continuing Education: Non-Credit Registers

Overview

This article explains the following three non-credit registers

  • International Language Elementary (ILE) Program

  • Literacy and Numeracy Program

  • Adult Native Language Program

These non-credit courses must be reported through a night school or summer-school BSID. OnSIS has indicated that a secondary night school can report both secondary and  elementary non-credit courses. Note: In this situation, your Board must ensure that the proper grade levels are defined as both elementary and secondary grades for the appropriate schools in OnSIS. For each Register, we'll explain how the courses must be added in Trillium so that they appear on the proper Register. We also provide tips and tricks, which will ensure the data is submitted to OnSIS properly.

International Languages Elementary (ILE) Program 

This Register is used to record enrolment and Attendance for JK-8 students who are enrolled in the ILE program, taken either during the regular school year or during summer. Students enrolled in a private school may also be included in this Register. 

Use these Trillium Modules to Manage this Register: 

  • Core Trillium: For school administration to complete course setup, and maintain Attendance.

  • Course Information page:
    • Transcript/Credit Course flag must be turned off (Do this first in order to create a non-Ministry course code)
    • Course Code: Can create own course code or use one of the Ministry course codes
    • Course Type: International Languages
    • Credit Value: 0.00
    • Part Time Calcs flag must be off
    • Language: Select the appropriate language from the picklist. Note: This field appears only when the appropriate course type is selected and is a mandatory field. The picklist contains options from the OnSIS column in Language validation table. 
    • Other Language: This field only becomes available if the option Other is selected in the Language field. This is a free text field of 25 characters.  
  • Builder > Course Sections > Continuing Education
  • ​Register Use:  This field is mandatory for ILE.  Select the appropriate option, which includes:
    • ​Weekend
    • Before School or Lunch Time
    • After School
    • Late-Afternoon and Evening Program
    • Integrated Extended-Day Program 
    • Summer (Éte)
  • These courses can be assigned to students using the Load Student or the Student Programs > Program > Classes section. 
  • Register to print from Core Trillium: International Languages
  • TWebATT: For teacher to complete Attendance.

Notes: 

  • These courses may only be offered to students from JK to grade 8

  • Instruction for these courses must be limited to 2.5 hours a week during the school year, and 2.5 hours a day during the summer.

  • Only Aggregate data for this Register will be reported to OnSIS. No student information will be reported for ILE.

  • Boards can use one BSID to report all International Language (Elem) (ILE) schools/courses if they wish. In Trillium, the Board would set up one or more school codes, and use the same BSID for each. When generating an OnSIS submission, all of the schools would be reported in the one .xml file.

Literacy and Numeracy Program 

This Register is used to record enrolment and Attendance for students enrolled in these programs:
  • Grade 7 & 8 Remedial Literacy and Numeracy;

  • Non-credit Grade 9 or 10 Remedial Literacy and Numeracy;

  • Literacy and Numeracy for Parents and Guardians.

Use these Trillium Modules to Manage this Register: 

  • Core Trillium: For school administration to complete course setup, and maintain Attendance.

    • Course Information page:

      • Transcript/Credit Course flag must be turned off (Do this first in order to create a non-Ministry course code)

      • Course code: Create a non-Ministry course code 

      • Course Type: Literacy and Numeracy

      • Credit Value: 0.00

      • Part Time Calcs flag must be off

      • Continuing Education > Use of Register:  This field becomes mandatory. You must select the appropriate value from the picklist.

    • Builder > Course Sections > Continuing Education > Course Delivery Code

      •  This field is mandatory for Literacy and Numeracy course types.  Select the appropriate option, which includes:

        • On a school day during lunch hour

        • On a school day before school

        • On a school day after school

        • In the evening

        • On the weekend

        • N/A can be used when the Course is delivered during Summer School

      • Other fields must be completed accordingly

    • These courses can be assigned to students using the Load Student or the Student Programs > Program > Classes section. 

    • Register to print from Core Trillium: Literacy and Numeracy Program

  • TWebATT: For teacher to complete Attendance

Notes: Edit section

  • The information in the Continuing Education section of the Builder > Course Sections tab (Days of the week, Start/End dates, Start/End Times) will be used to calculate and populate the Hours of classroom instruction section of the Register and if it will be reported in the Summer box.

  • This Register will be reported in the 2015–16 Course List for Grant Purposes Report and in OnSIS.

  • Trillium already provides everything you need to successfully report Literacy and Numeracy courses for Students to OnSIS.  For Literacy and Numeracy for Parents, the capturing of information is more complex, and requires a new data-entry window and Register be created. Core Trillium will NOT be used to assign parents to the class. Our new window will be included in the licensed TWebCE product, which will be included in the TWebSchool release scheduled for April 2016The Ministry does not expect or want you to add parents as students or assign them an OEN. You will set up the Course in Core Trillium, identifying the information needed on the Courses and Builder/Course Section windows.  It will present you with a data-entry screen formatted like the Register grid. Parents will be added directly on the grid by entering the OEN or Student Number of their child, and selecting the appropriate contact from the student information. You can then enter the Attendance directly onto the grid. You will also be able to print the Register.

  • The Ontario Association of  Adult and Continuing Education School Board Administrators (CESBA) held a workshop on Jan. 19, 2016 on this new reporting requirement for OnSIS. Presentation slides can be found at http://www.cesba.com/eri-resources/. Topics include Board best practices for the naming of the non-credit courses, and deciding how many continuing education BSIDs to use.

Adult Native Language  

This Register is used to record enrolment and Attendance for students enrolled in Adult Native non-credit courses, offered during the school year or during summer. This Register cannot be used to record enrolment of any student who is registered in a regular day school in Ontario.

Use these Trillium Modules to Manage this Register: Edit section

  • Core Trillium: For school administration to complete course setup, and maintain Attendance.

    • Course Information page:

      • Transcript/Credit Course flag must be turned off (Do this first in order to create a non-Ministry course code)

      • Course code: Can create own course code or use one of the Ministry course codes

      • Course Type: Adult Basic Education

      • Credit Value: 0.00

      • Part Time Calcs flag must be off

      • Use of Register: Adult Native Language Instruction

      • Language: Select the appropriate language from the picklist. Note: This field appears only when the appropriate course type is selected and is a mandatory field. The picklist contains native languages approved from the OnSIS column in Language validation table. 

      • Other Language: This field only becomes available if the option Other is selected in the Language field. This is a free text field of 25 characters.  

    • Builder > Course Sections > Continuing Education

      • Fields must be completed accordingly.

    • These courses can be assigned to students using the Load Student or the Student Programs > Program > Classes section. 

  • Register to print from Core Trillium: Adult Non-Credit Language

  • TWebATT: For teacher to complete Attendance

Notes: 

  • Courses may be offered during or after the school day.

  • Students must be identified as Other Pupil (select Other Pupil of the Board in the Funding section when registering the student in Trillium).

  • The information in the Continuing Education section of the Builder > Course Sections tab (Days of the week, Start/End dates, Start/End Times) will be used to calculate and populate the Hours of classroom instruction section of the Register and if it will be reported in the Summer box.

  • This Register will be reported in the 2015–16 Course List for Grant Purposes report and in OnSIS.

Note: These new fields must be populated before attempting the OnSIS snapshot for the night and summer school submissions for 2015-2016.  OnSIS 3.15.00 will only be compatible with CT 3.15.10, as a result of these data model changes.
